Terms of Service

These terms apply to CoatRoo, the workshop management software at coatroo.com (the “Service”). In these terms, “CoatRoo”, “we” and “us” mean the operator of the Service, and “you” means the person using it and the workshop they use it for.
By creating an account, accepting an invitation or otherwise using the Service, you agree to these terms. If you register a workshop, you confirm that you are authorised to accept these terms for that business. Our Privacy Policy explains how we handle personal information.
1. The Service
CoatRoo helps powder-coating workshops run their day: receiving work, quoting, production, invoicing, collections and the records that go with them. We improve the Service over time, so its features may change.
Each workshop has its own account. The workshop’s owner and admins invite staff and choose what each person can do. They are responsible for who they invite, and for removing access when someone leaves.
2. Your account
- Give accurate details when you register, and keep them up to date.
- Keep your password to yourself. Each person should sign in with their own account.
- The workshop is responsible for what happens in its account, including actions by the staff it invites. These terms apply to invited staff too.
- If you think someone has used your account without permission, tell us straight away through the Contact page.
3. Free trial
A new workshop gets a 14-day free trial with the same features as the paid plan. You don’t need to give a payment method to start it.
4. Subscription and billing
- After the trial, CoatRoo costs A$199 per month plus 10% GST for each workshop.
- Subscriptions are billed monthly in advance through PayPal subscriptions, and your payments are also subject to PayPal’s terms. CoatRoo never receives or stores card numbers.
- You can cancel at any time from Billing in CoatRoo. Access continues until the end of the period you have already paid for.
- We don’t give refunds for part months, except where the Australian Consumer Law requires.
- If a trial ends without a subscription, or a payment fails, the workshop’s access is limited until it subscribes. Its data is kept.
- We will give you at least 30 days’ notice by email before a price change applies to your subscription.
5. Acceptable use
When using the Service, you must not:
- use it for anything unlawful;
- try to break, bypass or test its security, or to access another workshop’s data or accounts;
- resell it, or offer it to others as part of your own product or service;
- upload malware, or content you don’t have the right to use.
We may limit or suspend a workshop’s access where that is needed to stop a breach of these rules or to protect the Service and other workshops.
6. Your data
Your workshop owns the data that it and its staff put into CoatRoo, including customer records, photos, documents, quotes and invoices. You give us a licence to host, store, copy and process that data only as needed to run the Service for you: for example, to show it to your staff, send the emails you ask CoatRoo to send, and keep backups.
Your customers’ information
Workshops enter details about their own customers, such as names, email addresses, phone numbers, addresses, job photos and documents, quotes and invoices. For that information, your workshop decides what is collected and why, and CoatRoo stores and processes it on your behalf to provide the Service. You are responsible for having a lawful basis to collect and use it, and for giving your customers any notices the law requires.
Export and deletion
You can export invoices and inventory as CSV files while your workshop has access. If access has ended, ask us through the Contact page for a copy of your data. To have your workshop’s data deleted, ask us through the Contact page. We delete it except records we must keep for legal, tax or security reasons, such as billing and audit records.
Workshop records aren’t deleted automatically at the moment. They are kept after an account is suspended or closed until you ask us to delete them, or until we publish a retention period. Deleted data can remain in backups for a time, as our Privacy Policy describes.
7. Other businesses’ services
Some parts of CoatRoo rely on other businesses. Payments are processed by PayPal. The powder marketplace lets a workshop send requests to independent powder shops, and the colour catalogue shows product details and images from suppliers’ websites. Those businesses are responsible for their own products, prices, stock and services, and CoatRoo does not guarantee them.
8. Our responsibilities and liability
- We provide the Service with due care and skill. Otherwise, to the extent the law allows, it is provided “as is”, and we don’t promise that it will always be available or free of errors.
- Nothing in these terms excludes, restricts or modifies any right or remedy you have under the Australian Consumer Law, or any other right that cannot lawfully be excluded.
- Where the law allows, our total liability to you for all claims connected with the Service is limited to the fees you paid us in the 12 months before the claim arose.
- To the extent the law allows, we are not liable for indirect or consequential loss, such as lost profits, revenue or business opportunities.
9. Ending your use
You can stop using CoatRoo and cancel your subscription at any time from Billing. If access ends, whether you cancel or we suspend it, your workshop’s data is handled as described in section 6.
10. Changes to these terms
We may update these terms from time to time. The date at the top shows when they last changed. If a change significantly affects you, we will tell workshop owners by email before it takes effect. If you don’t agree to a change, you can cancel before it takes effect. By continuing to use the Service after a change takes effect, you accept the updated terms.
11. Governing law
These terms are governed by the laws of Victoria, Australia. You and we submit to the jurisdiction of the courts of Victoria.
